Invoice Tracker
Track every invoice from your inbox.
Turn authorized Gmail and Outlook invoices into searchable Financial Memory with amounts, due dates, references, confidence, and source provenance.
Read-only Gmail and Outlook access. No bank credentials.
Invoices disappear because email stores messages, not obligations. A PDF may be attached to one thread, a corrected invoice may arrive later, and the payment confirmation may use a different sender or reference.
Numero converts authorized invoice evidence into structured Financial Memory. It is designed for retrieval and timely attention, not as a replacement for bookkeeping, accounts payable, or accounting software.

Structured evidence
Normalize the fields that make an invoice actionable.
Numero separates the invoice document, the obligation it may establish, and any later payment evidence while keeping every accepted fact source backed.
Issuer
Northstar Studio
The normalized issuer remains linked to the sender and source message.
Invoice number
INV-20481
A stable reference connects corrected invoices and later payment evidence.
Amount and currency
$240.00 USD
Amount and currency remain separate deterministic facts.
Due date
August 15
Due-date Moments require explicit supported evidence.
Payment evidence
Not observed
An invoice is not silently marked paid or unpaid from absence alone.
Confidence and source
High · Outlook
Confidence and provenance remain visible for review.
How it works
Three steps, then Numero does the rest.
STEP 01
Connect Gmail or Outlook read-only
Authorize the inbox where invoices arrive. Numero cannot send, delete, label, or modify source messages.
STEP 02
Numero normalizes invoice evidence
Issuer, invoice number, amount, currency, due date, payment evidence, confidence, and source provenance become connected facts.
STEP 03
You search and receive timely attention
Search the history at any time. Explicit unresolved due dates can support Invoice Due and Invoice Overdue Financial Moments.
Connected context
Follow the invoice lifecycle, not just the attachment.
An invoice request, a correction, a due-date Moment, and payment evidence are related events with different meanings.
Aug 01
Invoice received
The issuer, reference, amount, currency, and explicit due date are extracted from the authorized source.
Outlook · Invoice INV-20481Aug 01
Financial Memory committed
Accepted facts retain confidence and a direct path back to the source message.
Financial Memory · High confidenceAug 08
Invoice Due Moment
The implemented watcher surfaces the unresolved obligation within seven days of its explicit due date.
Financial Moment · Invoice DueAug 12
Payment evidence connected
A later confirmation resolves the obligation while preserving the invoice history.
Gmail · Payment confirmation
Why invoices disappear inside email.
Senders use invoice, bill, statement, receipt, or no financial word at all. The useful fields may be in the subject, message body, attached PDF, or a portal link. One invoice can also generate reminders, corrections, and payment confirmations across different threads.
Search can recover a known message, but it does not maintain the state of the obligation. Numero connects related evidence so the same invoice does not remain due after reliable payment evidence resolves it.
Search retrieves history; Financial Moments surface timing.
Gmail and Outlook search are useful when you know what to ask for. They do not continuously evaluate whether an explicit due date is approaching or whether payment evidence has already resolved the obligation.
Numero's implemented Invoice Due and Invoice Overdue watchers evaluate committed invoice and payment-state facts. Missing dates remain missing, and an autopay notice is not treated as completed payment.
- Search by issuer, amount, currency, reference, type, or date.
- Keep corrected invoices connected without counting them twice.
- Resolve obligations with supported payment evidence, not inbox silence.
- Surface missing information instead of manufacturing a deadline.
Invoice evidence without becoming a document vault.
Original message bodies, PDFs, images, and attachments are processed ephemerally. Durable Financial Memory contains approved structured facts, relationships, confidence, and provenance.
Numero uses read-only Gmail and Outlook access and cannot send, delete, or modify source messages. Export and deletion controls remain available to the user.
Compare the workflow
Search and tracking solve different parts of the task.
The right method depends on whether you need one document today or an evidence-backed lifecycle over time.
| Method | Useful for | What remains manual |
|---|---|---|
| Gmail or Outlook search | Finding one known invoice | Requires repeated queries and does not maintain payment state |
| Labels and folders | Grouping stable senders | Does not normalize amount, due date, or references |
| Spreadsheet | A small manual invoice list | Requires entry, matching, reminders, and resolution updates |
| Accounting software | Formal bookkeeping and accounts payable | Broader workflow and setup than evidence retrieval |
| Numero | Email-native Financial Memory and Moments | Limited to facts supported by authorized sources |
Evidence boundaries
Useful without pretending to know more.
Numero preserves missing facts and uncertainty instead of converting assumptions into financial truth.
- An invoice document does not by itself prove that an obligation remains unpaid.
- Missing due dates remain missing and cannot support a due-date Moment.
- Email-only evidence cannot observe payments that generate no authorized message.
- Numero is not bookkeeping, accounting, tax, or accounts-payable software.
